Why is FOP the right choice for coaches and mentors?

If you lead sessions, mentorships, consultations, or training webinars, this is not just an “exchange of ideas”, but a paid intellectual service. And such activity must be formalised.

An FOP is the optimal setup for self-employed education and personal development professionals. Unlike a legal entity, being a sole proprietor in Ukraine – requires no complex bookkeeping, allows you to work independently, lets you issue invoices, sign contracts and delivery certificates.

As a coach or mentor, FOP status allows you to:

  • legally accept payments from individuals and companies
  • connect payment systems (e.g. Fondy or LiqPay) for automated online payments
  • collaborate with Ukrainian and international platforms
  • participate in public and corporate tenders for trainings or educational services

And most importantly — it lets you build a transparent and stable financial model, where you control your income, scale with ease, and avoid issues with banks or tax authorities.

Which FOP tax group should a coach or consultant choose?

Once you’ve decided to formalise your business, the next step is choosing the right tax group under the simplified taxation system. Most coaches, mentors, and consultants in Ukraine register under Group 2 or Group 3, depending on their work format and future plans.

When is Group 2 a good fit?

The 2nd group is a solid option if you:

  • work exclusively with individuals or FOPs on the simplified tax system
  • hold one-on-one sessions or small group workshops
  • operate within Ukraine and don’t receive foreign payments

Limitations of Group 2: cannot work with legal entities on the general tax system, cannot accept foreign currency payments, income capped at UAH 6,672,000 per year (2025).

When is Group 3 the better choice?

The 3rd group is more flexible and universal.

Choose it if you:

  • provide training or coaching services to companies
  • work with international clients
  • offer services through platforms or your own website, using payment systems
  • plan to scale or build a team

You can legally receive payments in foreign currency, work with any type of client, including legal entities and non-residents, have higher income limit – UAH 9,336,000 per year.

Which KVEDs should Coaches, Mentors, and Online Consultants choose?

Selecting the right KVEDs is not just a formality — it’s the legal foundation of your business. Your codes must accurately reflect the real nature of your services. If they don’t, you may face issues during tax inspections or while working with partners and clients.

Recommended KVEDs for Coaches / Mentors / Consultants:

85.59 – Other education n.e.c.
This is the primary KVED for coaching, mentoring, and personal development. It covers informal adult education, trainings, webinars, and consulting sessions.

70.22 – Business and management consultancy activities
Best suited for business mentors helping clients build strategies, boost sales, or launch products.

62.09 – Other information technology and computer service activities
Useful if you consult in digital fields — such as CRM tools, marketing automation, or online advertising.

96.09 – Other personal service activities n.e.c.
A supportive KVED that covers niche mentoring formats or personal consultations that don’t fall under formal education.

Choose a combination based on your actual services:

  • Self-development or career coach? Use 85.59 as your main code
  • Business mentor? Combine 70.22 + 85.59
  • IT or digital consultant? Combine 62.09 + 85.59

You can register multiple KVEDs — just ensure they match your real activities. In case of a tax audit, your KVEDs determine whether your services are legal under the simplified tax system.

How coaches should work with clients: payments, offers, and proof of services

Most coaches and mentors work online: one-on-one sessions via Zoom, group programmes in Telegram, Notion, or other platforms, consultations via video or written communication.

Regardless of your delivery method, you need a clear legal model for collaborating with clients.

How to accept payments

The most convenient method is via your FOP bank account. You issue an invoice, the client pays. You receive the funds — with no risk of account blocks or tax issues

If you accept payments via a website or social platforms like Telegram or Instagram, you can connect WayForPay or LiqPay. The client pays by card, and funds go directly to your FOP account.

How to confirm services rendered
  • Public offer. If you work with a large number of clients (e.g. selling mentorship programmes or courses), publish a public offer. Post it on your website or even in a Telegram channel.
  • Service completion certificate. Ideal for individual clients or companies. After the programme, you sign a simple document (digitally or on paper) confirming service delivery.
  • Invoice. If requested, send a formal invoice from your banking app or CRM. This helps clients who want to include your services in business expenses.

What about international clients?

If you work with clients in Europe, the US, or other countries, you’ll need a foreign currency account and must be on the 3rd group of the simplified tax system.

Accepted payment methods include:
  • SWIFT transfers to your FOP account
  • Payment systems like Wise or Payoneer
  • Online course platforms such as Teachable, Thinkific, or Kajabi (integrated with Stripe or other processors)

These simple steps help you avoid informal “card transfers,” reduce account risks, and increase client trust — especially in corporate or international segments. Working legally isn’t just safe — it’s a strategic advantage.

Common financial and tax mistakes among coaches

Coaching and mentoring are about focusing on people — not paperwork. But when you work as an entrepreneur, even small oversights in financial reporting can lead to serious consequences. Here are the most frequent mistakes we fix for our clients:

Receiving payments to a personal bank card. Even if it’s “just once” or “for convenience,” such income has no official documentation. Banks flag regular incoming payments as business activity, and the tax authority may request clarification. Consequence: risk of account blocking or fines.

No primary documentation. Invoices, service certificates, and public offers aren’t just bureaucracy — they’re proof of income. Without them, you can’t confirm that a service was provided, especially when working with legal entities.

Incorrect KVEDs. If you run educational programmes but your registration only lists marketing or information services, that’s a compliance violation. In the event of an audit, this may result in losing access to the simplified tax system.

Misreporting foreign currency income. If you work with international clients, your foreign income must be properly documented. Errors in tracking currency inflow often lead to fines or tax inquiries requesting clarification on the payment source.

Late or missing tax filings. Postponing your filings “until later” is a costly habit. Deadlines are strict — even a one-day delay can result in penalties. This is especially risky for new FOPs unfamiliar with tax schedules.
